Log into ClubLANE using your username and password, click the Meets tab and select Create A New Meet
The Create A New Meet page will display. Type the title of your meet and select Save.
If you have existing meets in the system, and the meet you are creating has the exact same Meet Manager set up, you can copy a previous meet by typing the name of the meet in the Copy from... text box.
The Security box will display which role you are currently logged in as, in order to ensure you are creating a meet in your correct portal (for administrators who have hold both regional and club committee roles).
Complete each of the fields on the Main Details screen.
Main Details screen fields explained:
Title: Auto-populated from text entered into Create A New Meet screen
Meet Start Date: First day of the meet
Meet Date To: Last day of the meet
Entry Start Date: Date that online entries will automatically open
Entry Start Time: Exact time that online entries will automatically open
Entry End Date: Date that online entries will become unavailable
Entry End Time: Exact time that online entries will become unavailable
Time Zone: Select the State that the Event is being held in from the drop down menu (TAS select VIC; ACT select NSW). This will ensure that the meet entry closes at the time you have specified.
Venue: Venue must be selected from a list of pre-set up venues (See How do I Create a New Venue? for instructions)
Organiser: Event Organisers Name
Organiser's email: Event Organisers email
Once all fields have been completed, select Save.
You will receive the following confirmation screen upon completion. If you are accepting online entries for this meet, select the View button.
You will be taken to the below screen.
If you would like this meet to display in your website calendar, click Edit and change Show in Web Calendar to Yes, then Save.
Linking Meet Details to MyLANE
For the meet details to show up on MyLANE, you will need to ensure that each level has a unique subdomain setup. If you have a Visage website you will already have a subdomain name; if not, we recommend you add your Club name.
On the Club Details screen in ClubLANE, click Edit on This Club.
Enter the Club name in the Subdomain free text field and click save.
Set up who the meet is Owned by
Go to the Owned by tab & click edit. Add the owner of the meet at the relevant level i.e. Club name at Club level; or State Name at State level; or Region name at Region level. The meet payments will go to the owner of the meet. If there is more than one owner, the list will read from the bottom up.
The meet details will link to MyLANE for the Owner of the meet. For example, if the meet is owned by the Club, the details will show up on the Club tab for the members of the Club.
If you have more than one owner, the meet will display on the tab for each Owner. The member can click on the tab for each level in MyLANE to see what meets may apply to them, as pictured below:
Set up who the meet is Open to
Go to the Open To tab on meet set up. Edit to add the name of the location that describes who is welcome to swim at this meet i.e. if it is a Club only meet, add the name of the Club.
