How to set up a Club meet to allow all members (and potential members / casual swimmers) to enter using Online Meet Entry
To create a meet please refer to: HOW TO SET UP A CLUB MEET IN ClubLANE. Once a meet is created you can follow these instructions to allow all members (or even potential members) to enter the meet.
In the Settings tab the meet status must be ‘Not Approved’.
In the Open To tab the meet must be open to members of the club only.
In the Owned By tab the meet must be owned by the Club only.
To allow potential members to join the meet
A Casual Swimmer category must be set up at State, Regional & Club level (please note that some States call the Casual Swimmer category a different name, such as Come & Try Swimmer – if you are not sure what the category is called please speak with your State contact).
The ClubLANE club profile needs to be modified to set a Subdomain name for the Club and you need to tick the Allow Member Join box for online membership nominations (please note you are not required to allow payments, that is you can leave the Disallow Payment box unticked). Contact email@example.com if you do not yet have a subdomain name set.
If you don’t have a ClubLANE website, you can enter the following URL in the ‘Web display’ tab. It points to both the meet and the club so the Casual Swimmer membership can be picked up (otherwise casual swimmer nominees will be asked for State, Club & Region)

To ensure that results will be attached to the recreational swimmers following the meet, ensure that swimmers meet all the following requirements:
- Must have an MMID created – the Club Secretary can create these;
- The swimmer must show as 'pending' or 'approved' in the 'Approved member status' box (bottom left of the personal details screen); and
- Must allow results to be shown (i.e. don't tick 'hide results' checkbox which can be found in Guardian/Emergency Contact box on bottom left hand side of the personal details screen.
Even though these results are unofficial for potential members they can be used if the swimmer becomes competitive at a later date.
