How to Link a Meet to My Club/Organisation
There are three primary reasons to link a meet to your club/organisation:
A) Enable your club/organisation swimmers to see and enter meets from a different state/region/club, from the event calendar
B) Enabling club administrators and coaches to track the attendance of their club members at the meet.
C) To obtain the Team Manager results file
1. Login to Swim Central and select ‘Administration’
2. Enter your Family Pin (if required)
3. Select Events from the left-hand navigation panel
4. From the Events Dashboard Select 'National Calendar' tab or 'Link Event' button
5. Use the provided filters to search for the meet you want to link with your club/organisation.
6. A list of published meets will appear. Select the specific meet you want to link to.
7. Click on "Link Event'
8. You will get the option to set a surcharge, if this is not necessary, select 'Link Event'.
The surcharge is a non-refundable fee that a visiting club or organisation may choose to apply to swimmers’ entry costs. This fee can help cover expenses such as travel to the event or coach attendance costs. The standard entry fee is paid directly to the meet host, while any surcharge (if applicable) is paid to the club or organisation linking to the meet and cannot be refunded.
9. The meet will now appear on your Events Dashboard under the Hosted/Linked tab, marked with a link icon. It will also be visible to your members in their 'My Events' calendar and under the 'Locate an Event' tab.
10. To monitor swimmer nominations for your club, you can view or download the relevant information from the linked event
Eligibility Report
The Meet Eligibility Report allows coaches and club administrators to review swimmers' eligibility before the entry deadline by accessing it through the Event Home > Reports > Eligibility Report section.
Attendees Report/Attendees Accordion
To generate a list of attendees for individual and relay events, navigate to Event Home > Reports > Attendees Report. A detailed report will be emailed, including attendee contact information and the number of individual and relay nominations.
Additionally, this information is accessible under the Extra Information tab in the Attendees accordion. Selecting an individual will display their race nominations below. To identify relay-only swimmers, look for the relay-only tag.
Nominations Report
To access a list of attendees and their race nominations, go to Event Home > Reports > Nominations Report. A detailed report will be emailed, outlining each attendee along with their individual and relay nominations.
This information is also available under the Extra Information tab in the Attendees accordion. Selecting an individual will display their race nominations below.
Teams Report/Team Accordion
To view a list of teams nominated for a relay, go to Event Home > Reports > Teams Report. A detailed report will be emailed, including Team Name, Team Alpha Character, Race Number, Race Name, Team Entry Time, List of Athletes' Names, Event Cost, and Payment Status.
Alternatively, under the Extra Information tab, go to Teams, select the desired team, click on the Menu, and choose View Team to access the Team Nomination details.
11. Once the swim meet has completed and the results have been uploaded and verified, a tag 'TM File' will display.
12. To export your club's TM File (Team Manager file), choose the specific meet, and then, in the results dropdown menu, click 'Download TM Results.' The results file, exclusive to your members, will be sent to you via email.
13. If you see an eye closed icon, this refers to the meet being hidden from the calendar view by the hosting club. For further information please contact the Host club.
